› Is HR.net Enterprise user-friendly?
HR.net Enterprise has been specially designed to provide an easy-to-use interface for all users.
Directors, Managers, HR users, employees and other groups of users access HR.net Enterprise using Communities which are fully configurable by the client.
As a user, what you see on screen when you log in to HR.net Enterprise is determined by your security role. The client has full control over the features and information accessible by users. Functionality on Communities is displayed in a simple and logical way – users do not require technical knowledge to get the most out of HR.net Enterprise.
Every Community can be configured to include reports, workflow requests, news feeds, company documents, database searches and data etc.
Navigation is simple as tabbed browsing gives users a clear view of where they are in the application at all times.
› What is a workflow?
A workflow describes a physical business process, such as a holiday request and approval, as a sequence of connected steps. The workflow engine, built into HR.net Enterprise, provides end users with an easier way to orchestrate or describe complex processing of data or processes in a visual form. The workflow designer looks similar to a flow chart, but without the need to understand computer programming.
› To what extent can HR.net Enterprise be configured?
HR.net Enterprise is more configurable than any other HR solution available on the market. Using its unique screen and workflow design tools, you can modify our standard system or add any number of new data screens or workflows as required by your business.
HR.net Enterprise is supplied with its own drag-and-drop toolset which allows users to add, modify or delete any screens or workflows.
The Administrator Console functionality includes:
- Edit/add tables
- Edit/add pick lists
- Edit/add lookups
- Edit/add fields to tables
- Edit/add screens
- Edit/add workflows
The package is feature-rich but screens and user interfaces have been designed to be completely configurable.
Every workflow process in HR.net Enterprise can be edited using the Administrator Console and any number of new workflow processes can be defined and deployed.
The workflow design tool is an integral tool of HR.net Enterprise and no other applications, tools or licences are required.
HR.net Enterprise comes with its own integral report writer allowing users to define any number of customer reports and charts (or, if required, third party tools such as Cognos/Business Objects can be used).
This configuration work can be undertaken by Vizual consultants or by Clients who have been trained in the use of the Administrator Console.
› How long does it take to learn how to self configure workflow parameters?
It takes 3 – 5 days of training to be fully competent in the use of the Administrator Console and the workflow design tools.
› Can HR.net Enterprise integrate with Email?
HR.net Enterprise will work with any SMTP compliant application as it generates emails using SMTP protocol, a format compatible with Microsoft Outlook, Lotus Notes, and Microsoft Exchange.
› How many pre-configured data screens are included?
There are over 175 preconfigured data screens and 75 preconfigured workflows supplied as standard with HR.net Enterprise.
HR.net Enterprise software is supplied with an integral toolset called The Administrator Console. This allows you to add/edit/delete any number of fields and screens.
The Administrator Console functionality includes:
- Edit/add tables
- Edit/add pick lists
- Edit/add lookups
- Edit/add fields to tables
- Edit/add screens
- Edit/add workflows
Also all screens and user interfaces are completely configurable.
› What is needed to run HR.net Enterprise?
HR.net Enterprise is a web-based n-tier application developed using the latest .NET (3.5) technology from Microsoft. The underlying database is Microsoft SQL Server 2005/2008. HR.net requires IIS7 (SP1) as a web server with email handled by its internal SMTP engine.
End users access HR.net Enterprise using a web browser – Internet Explorer 7/8 or Mozilla Firefox 3 are the supported browsers and no other third party software is required.
› What is .NET?
The .NET software framework, written by Microsoft, provides a scalable, secure, agile and manageable foundation for HR.net Enterprise.

› Can I store documents anywhere in HR.net Enterprise? e.g. CV or correspondence to individual records.
HR.net Enterprise comes with an in-built document manager allowing you to store and display any company documentation such as company manuals, employee handbooks, polices etc. These documents can be made available to managers and employees via their user Communities.
The version control feature ensures you retain a full history of all documents and ensures that users always see the latest version. HR.net Enterprise allows you to store any number of electronic documents for any employee. Documents can also be generated and stored automatically, as in the case of a mail merge, or scanned and added manually. Documents can be stored in any format including: doc, docx, pdf, jpeg, bmp etc.
› How does HR.net Enterprise restrict access to the information contained on the system?
Authorisation is the process of checking if a user has security access to a particular resource or function within HR.net Enterprise.
HR.net Enterprise employs its own custom authorisation process based upon roles assigned to a user. When a request is made by the user, HR.net Enterprise checks the set of assigned privileges. If the user does not have the required privileges then the request is rejected. This is controlled in the HR.net Enterprise Web Application and Administrator Console application and a message is displayed informing the user that they do not have the required privileges to carry out the request.
› Does HR.net Enterprise integrate with Payroll?
HR.net Enterprise has been designed as an ‘open’ application and not tied to any one payroll application. We have created payroll change files from HR.net Enterprise to various payrolls including Surepay and Freedom, Pagus, Ceridian, Moorepay, Trace and others.
The preferred approach to integration is where HR.net Enterprise acts as the master with changes captured within HR.net Enterprise being passed to Payroll by way of a Payroll change file. HR.net Enterprise’s workflow enables tighter management of new hires, terminations and changes that can impact payroll. It records these changes, processing them and allows the payroll personnel to perform manual checks of the data before it is transmitted to payroll application or bureau. It is also possible to capture the gross to net information from the payroll application or bureau and to import that back in HR.net Enterprise in a payslip format. This provides employees with self-service access to online payslips.
› What types of support are included in the purchase?
The Standard Support Package role is to:
- Investigate any problems with the software reported by the Licensee and use all reasonable endeavors to provide a workaround or fix to each fault, as soon as reasonably possible,.
- Provide releases to users of the Software who have a support contract with Vizual, at such frequency as Vizual may determine. Such releases may incorporate minor enhancements, product updates, corrections and software code changes. Vizual reserves the right to charge for releases that include significant enhancements or introduce substantial new functionality.
- Provide updates which comprise modifications to the software so as to ensure that the Software conforms to any changes of legislation or new legal requirements which affect the functions or facilities of the Software updates.
- Provide the following support through the Vizual Client Support Desk to nominated employees of the Client who are responsible for operating the Software and are competent in its use and operation:
- Telephone Support
- Email Support
- Remote log-on to the Client’s computer system, which the Client accepts as a prerequisite to on-site support being provided. (This is a secure service that uses data encryption).
- Access, which may be subject to password control, to the appropriate Vizual websites for access to available updates.
- Provide on-site support, at Vizual’s discretion, should a fault not be resolved by telephone, remote log-on or email support.
› What are the technical support hours?
Vizual support function operates 24 hours a day, 5 days a week and if required can operate 24/7.
The support team is formed of long standing employees with extensive knowledge of HR.net Enterprise and technical capability. We currently support customers worldwide.
All agents use the same application for tracking customer issues with a single record for every support incident therefore ensuring effective hand-off between agents. Customers have their own interface to this support system allowing them to track logged incidents and view progress of those incidents.
› What is the scale of training provided by Vizual to HR.net Enterprise Customers?
HR.net Enterprise is comprehensively documented with in-built documentation, training manuals and user guides. Implementation will be supported by detailed “scope” documents that identify specific features and how they will be implemented, whether they will use the standard application or the level of customisation that the customer requires.
Vizual provides comprehensive training for users of HR.net Enterprise. Our courses are designed to ensure that delegates have maximum hands-on experience, giving them the skills and confidence to return to the workplace with a thorough understanding of the software. Each course is structured and set out in an easy to follow manner and is accompanied with practical exercises at the end of each section. We can provide both on-site and classroom training.
HR users would require 2 days training and System Administrators 3 days. We would expect at least one person from the IT/system side to be involved in training program, installation and set up of the system. The client may also adopt the training system in which key support people are shadowing Vizual consultants to further gain knowledge on HR.net Enterprise.
